Duties
Serve as the front desk receptionist, greeting visitors and managing inquiries with professionalism and courtesy
Operate multi-line phone systems, directing calls accurately and providing exceptional customer service
Manage calendar appointments, schedule meetings, and coordinate office events efficiently
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Utilize software such as Microsoft Office, Google Workspace, and QuickBooks for daily tasks including document creation, data management, and bookkeeping
Handle clerical responsibilities such as photocopying, scanning, and maintaining filing systems
Support office management activities by overseeing supply inventory and coordinating maintenance requests
Provide customer support via phone or email, addressing inquiries promptly and professionally
Assist with personal assistant duties when required, including travel arrangements or correspondence management
Maintain confidentiality of sensitive information while adhering to office policies
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Strong organizational skills with excellent time management abilities
Experience with QuickBooks or similar accounting software; bookkeeping knowledge is a plus
Effective phone etiquette and experience managing multi-line phone systems
Bilingual capabilities to serve diverse clients and team members effectively
Demonstrated clerical experience in an office environment with strong attention to detail
Excellent written and verbal communication skills; proofreading skills are advantageous
Ability to handle multiple tasks efficiently while maintaining accuracy
Familiarity with medical or dental receptionist duties is beneficial but not required
